I just want to remind everyone that in order to be eligible for breed awards, or even to appear in the breed ranking lists, a copy of your horse's registration papers must be submitted to Elaine Steele.
VERY few registration papers are on file for horses competing in OCTRA.
Just as an example, have a look at the Arabian standings...

I know there are far more Arabs who have competed in at least one ride this season. But the horses in this list are the only ones who have registration papers on file.
You only have to do it once, and then it's permanently on record. Send it in with your mileage program form and kill two birds with one stone! |

Perhaps a sign at the registration desk at the next few rides might help advertise this often overlooked item?
I intend to print a version of Deanna's original post to put in the ride packages for Coates Creek...that should help the process.

| I have registered a few horses for mileage and never realized that papers were required. Thanks Deanna! Perhaps this needs to be clarified in the mileage application document or the rules (I have always submitted my registration numbers on ride entries, but have never been asked for/provided copies of the papers). |

No... Elaine is responsible for the mileage program. But Elaine and Annie and I discussed it, and agreed that it was more efficient for Elaine to take over the management of the actual documents since she has to process the mileage applications anyway. And can file and maintain it all as one step. That way you guys don't have to send paperwork to two different people.
I will be submitting a resolution for next year to change that rule. I will also be submitting a resolution that would require all horses be registered in the mileage program to be eligible for year end awards. Which would make tracking horse records vastly easier and more accurate.
Annie St. Denis is responsible for year end points. But the tally is now happening live on the website in the ranking lists. She is responsible for making sure it is correct, and answering questions on how the points work, and on actually submitting final tallies to the awards person.
These changes are all part of the amalgamation of data that allows us to track membership and competition records more accurately, and also reduces the duplication of work that was happening with multiple volunteers (Annie and Elaine both tracking ride results on OCTRA horses for example). |

| Oh yes. No worries. The papers just have to be in before the end of the season. Your horse will show up in the rankings as soon as Elaine puts the information in the database. |

Hi All,
I have updated the Mileage Entry Form, which I am emailing to Chrystal now for upload to the website. The new form references the rule and asks for registration papers to be submitted together with the form.
